Who we are

AV Hire Bournemouth is a brand of Digital Design & Media Ltd, a company registered in England and Wales (company number 06065291; VAT registration number GB 907 4653 15; registered office: 17 St Clements Road, Parkstone, Poole, Dorset BH15 3PB). What we collect, why, and our legal basis

Quote requests. When you send the quote form we receive what you typed: name, email, phone, event date, venue if given, your equipment list and message. We use it to prepare and send your quote and to answer follow-up questions. Legal basis: taking steps at your request before entering a contract (UK GDPR Article 6(1)(b)).

Calls and emails. If you contact us directly we keep the correspondence needed to handle your enquiry and any resulting hire. Legal basis: as above, and our legitimate interest (Article 6(1)(f)) in keeping accurate records of business conversations — including for repeat bookings, which is how much of our work arrives.

Technical data. Our hosting provider keeps standard, short-lived server logs (such as IP addresses) for security and to keep the site running — a legitimate interest shared by practically every website. To limit form abuse, our quote endpoint also briefly holds a scrambled (hashed) form of your IP address for about a minute after you submit.

Your quote list is stored in your own browser until you send it — see the cookies page. It never reaches us before you press send.

We collect nothing else. No marketing lists you didn't ask for, no profiling, no automated decision-making, and we never sell personal data.

Who sees it

Your data is seen by us and by the service providers who run our infrastructure on our behalf: one.com (website hosting and email delivery) and Microsoft (the business mailbox where enquiries arrive). These providers process data under contracts that meet UK GDPR requirements. We don't share your data with anyone else unless the law requires it.

Where it's processed

Data is processed in the United Kingdom and the European Economic Area, which UK law recognises as providing adequate protection. If any provider processes data outside those areas, it does so under recognised safeguards such as the UK's international data transfer agreements or addendum-backed standard contractual clauses.

How long we keep it

Enquiry and booking correspondence is kept for as long as we genuinely need it: to deliver the hire, handle anything that follows (invoices, insurance, repeat bookings), and meet legal record-keeping duties. We review what we hold periodically and delete what no longer serves a purpose. Want yours gone sooner? Ask — see below.

Your rights

Under UK GDPR you have the right to: access a copy of your data; have it corrected; have it erased; restrict or object to how it's used (including any processing based on legitimate interests); and receive it in a portable format. None of our processing is based on consent, but if that ever changes you'd also have the right to withdraw it at any time.

Complaints

If you think we've handled your data badly, tell us first — we'll almost certainly fix it faster. You also have the right to complain to the UK's regulator, the Information Commissioner's Office: ico.org.uk or 0303 123 1113.

Changes

If how we handle data changes — for example, if we ever add visitor analytics — this notice will be updated first, and the date at the top will say so.
